How we automated 80% of bookings for the CHANGER barbershop chain

CHANGER is a barbershop chain operating in several cities across Ukraine. Before reaching out to Darobots, administrators handled bookings manually through Instagram Direct and Telegram: each booking meant 5-10 back-and-forth messages. As the chain grew, the system broke down: missed messages, double bookings, lost customers.

Task: automate bookings, reduce the load on administrators, and increase repeat visits.

What the Darobots team did

We built a Telegram bot with a full booking cycle - from choosing a barber to confirming the appointment and reminding the client the day before the visit.

Bot functionality:

• choice of location and barber;
• real-time view of available slots;
• automatic booking confirmation;
• reminders 24 hours and 2 hours before the appointment;
• ability to reschedule or cancel a booking without an administrator’s involvement;
• feedback collection after the visit;
• bonus point accumulation and a loyalty program.

Integrations

The bot syncs with the barbers’ Google Calendar, so the schedule is always up to date. New bookings automatically land in the shared log. The administrator gets a summary at the start of the day, instead of answering messages all morning.

Results 3 months after launch

CHANGER is a chain, not a single location. Darobots built a single bot that scales across all locations: each one has its own schedule and its own barbers, but a unified interface for the customer. The customer doesn’t think about whether they’re in Vinnytsia or Kyiv. They just book.
